Tasks are the core ‘unit of work’ in MindFront. They can be created in three ways.

Direct Task Creation

The primary way to create a task is to start a chat with MindFront. By giving MindFront instructions in natural language, a new task is created to track that conversation and its outcomes.

Reactive Task Creation

Reactive tasks are created automatically in response to an external event. This is a key part of MindFront’s proactive architecture.

Access in MindFront is governed by Teams. A team is a named group of users — HR, FINANCE, SALES, IT, EXEC — and every resource that contains information (memories, conversations, documents, drafts, reports) is tagged with the teams allowed to see it.

There are no levels and no hierarchy. A user can see a resource if any of three things is true:

They are the originator of the resource — the human it was created for, or the human who created it.
They are explicitly added to the resource (e.g. added to a conversation).
They share at least one team with the resource’s tagged teams.

This is OR-semantics: one match anywhere is enough. Nothing else grants access — there is no policy engine, no role hierarchy, no exception clause to misconfigure.

Knowledge Vault

It is not a system of record for operational data: CRM records live in your CRM, emails in your inbox, project state in your project tool. The vault holds the norms — policies, preferences, the way things are done, the mistakes not to repeat — that aren’t captured anywhere else.

MindFront believes in Vertical Integration in Software Design.

MindFront is a vertically-integrated AI system written from first principles. It carries no third-party frameworks or middleware — storage, HTTP, UI, on-device embeddings, and every integration module are built in-house. Its external network connections are deliberate and enumerable: the upstream LLM provider — OpenAI, Anthropic, Google’s Gemini, or a self-hosted runtime like Ollama — whichever you point it at, web search, the third-party services your organization connects as integrations, and an operational channel to MindFront for TLS certificates and diagnostics. The air-gapped deployment removes every one of them.

In MindFront, the following apply to your data:

All of your data lives exclusively on your business’s isolated MindFront.
Your data is not co-located with any other clients and is only accessible by your business and MindFront¹.
MindFront will NOT train any AI or Machine Learning systems based on your user data.
MindFront will not share, distribute or sell any of your data.
MindFront will never use your data without your explicit written permission, which is not granted by default by any of our agreements.

Connected deployments send operational crash and error reports to MindFront — exception details, stack traces, and service diagnostics that let MindFront detect and fix faults in the field — under the telemetry agreement made at purchase and recorded on the appliance at provisioning. This channel carries diagnostics, not your documents, conversations, or data stores. Deployments without the agreement, and fully offline (air-gapped) deployments, send nothing.

On-Premises Deployment

Clients must ensure their use of MindFront complies with all applicable laws, regulations, and any relevant third-party platform terms of service.
